The Administrative & Marketing Assistant will be responsible for providing administrative and marketing support to ensure efficient operation of EAPC’s Fargo, ND office as well as assist with various marketing related projects. The Administrative & Marketing Assistant will support managers, the Marketing Department, and employees through a variety of tasks related to organization, communication, and creativity. Communication via phone, verbal communications, and email are essential to ensuring that all tasks are completed accurately and delivered with high quality and in a timely manner.

Duties & Responsibilities


  • Answering incoming phone calls, greeting visitors, and directing calls/visitors
  • Assist other office members with additional tasks, such as typing, scanning, mailing, sending/receiving packages and documents, etc.
  • File documents
  • Keep the office organized and running efficiently
  • Monthly billing drafts
  • Perform monthly reconciling of procurement card statements
  • Provide monthly expenses (printing, mileage, and postage logs reported to the accounting dept)
  • Assist other office admins in various locations
  • Monitor office vehicle calendar
  • Sort and distribute mail
  • Prepare proposal letters and professional service agreements
  • Perform other duties as assigned


  • Report directly to Marketing Director and collaborate with marketing team members
  • Respond to and design proposals which includes research, communication with project managers and principals, layout , coordination, and delivery as assigned by Marketing Director
  • Manage firm’s social media strategies and metrics
  • Assist with interview presentation data collection and creative
  • Participate in weekly marketing meetings (via Skype) and provide status updates on assigned tasks, specifically social media campaigns and metrics
  • Assist Tradeshow Coordinator with various tasks for a streamlined booth set up/take down process; transfer booth and materials and provide assistance as necessary
  • Attend project grand openings/dedications/community events when necessary to assist staff photographer with photo opportunities
  • Coordinate Fargo office events such as annual picnics
  • Coordinate annual firm Christmas party
  • Collaborate with marketing team on various marketing initiatives, both internal and external


  • High school diploma or equivalent required, associate’s degree in related field preferred
  • Proven administrative or assistant experience
  • Knowledge of office management systems and procedures
  • Proficiency in Adobe Creative Suite is preferred (InDesign and Photoshop especially)
  • Proficiency in social media strategies and metric reporting
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficiency in Microsoft Office
  • Able to work as a productive team member
  • Must be a self-starter and able to work with little supervision
  • A marketing or graphic design background is preferred

Working Conditions & Physical Requirements

Working conditions are largely office-based, although at times may be required to travel to off-site locations as well as to locations located throughout the region.

Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information.
